1) Who we are

2) Scope

These terms apply to bookings for our trips, experiences, and related services made via our website, email, phone, or messaging platforms.

3) Booking & confirmation

  • A booking is confirmed when payment (or the stated deposit) is received and you receive our confirmation email.

  • You must provide accurate details and inform us of any special requirements at the time of booking.

4) Prices & payment

  • Prices are in GBP (£) and include applicable taxes unless stated.

  • We currently accept card payments (Stripe) and PayPal.

  • We may cancel and fully refund in case of obvious pricing errors.

5) What’s included / not included

Each trip page lists what is included (e.g., transport, meals, bottled water) and not included (e.g., optional entrance fees). Please read before booking.

6) Your cancellations & changes

Standard policy

  • Cancel 48 hours or more before departure → full refund.

  • Cancel within 48 hours or no-shownon-refundable.

  • One free date change 48+ hours before departure (subject to availability).

(If you prefer a different window, tell me and I’ll swap it in everywhere.)

7) Our changes & cancellations

  • We may adjust itineraries/timings for safety, traffic, weather, or operational reasons.

  • If we cancel, you may choose a full refund or a free reschedule.

  • We’re not liable for additional costs outside the trip fee (e.g., hotels, onward travel).

8) Minimum numbers & punctuality

  • Some trips require a minimum number of guests; if not met, we’ll offer a reschedule or refund.

  • Departures leave on time. Late arrivals may forfeit their place without refund.

9) Health, safety & accessibility

  • You must be fit to travel and tell us about medical or mobility needs before booking.

  • Suitable footwear and weather-appropriate clothing are recommended.

  • Some locations (e.g., coastal paths/steps) may have limited accessibility.

10) Dietary needs

  • Please state Veg/Non-Veg and specific dietary requirements when booking. We’ll do our best to accommodate, but third-party venues cannot be guaranteed.

11) Behaviour & property

  • We may refuse service or remove guests for unsafe, disruptive, or illegal behaviour—no refund.

  • You are responsible for damage you cause to vehicles or property.

12) Personal belongings

You’re responsible for your belongings. We’re not liable for loss, theft, or damage unless caused by our negligence.

13) Weather & force majeure

We’re not liable for delays/changes caused by events beyond our control (e.g., severe weather, road closures, strikes). We’ll aim to reroute, reschedule, or refund where appropriate.

14) Children & age policy

  • Under-16s must travel with a responsible adult.

  • Child seats must be requested in advance where required by law.

15) Insurance

We recommend personal travel insurance covering cancellations, medical needs, and personal property.

16) Photography & media

We may take photos/video during trips. Tell the guide if you do not consent to being photographed. Personal photography is welcome—please respect others’ privacy and any site rules.

17) Complaints

Please raise issues during the trip so we can help immediately. Otherwise, email londonsundaratravels@gmail.com within 7 days of travel with your booking details.

18) Liability

Nothing limits our liability for death or personal injury caused by our negligence or fraud. Otherwise, our liability is limited to the amount you paid for the affected service, to the extent permitted by law.

19) Governing law

These terms are governed by the laws of England & Wales. Courts of England & Wales have exclusive jurisdiction.

Privacy & Data (UK GDPR summary)

What we collect

  • Booking details: name, email, phone, preferences/dietary info.

  • Payment is processed securely by Stripe and/or PayPal; we do not store full card details.

Why we use it (lawful bases)

  • To provide and manage your booking (contract).

  • To improve our services and safety (legitimate interests).

  • With your consent for marketing (unsubscribe anytime).

Sharing & processors

We use trusted providers to operate the business (e.g., Squarespace, Google Workspace/Sheets, Stripe, PayPal). They process personal data under our instructions.

Retention

Booking records kept for up to 4 weeks for tax/legal purposes, then securely deleted.

Your rights

You can request access, correction, deletion, or restriction. Contact londonsundaratravels@gmail.com. You may complain to the Information Commissioner’s Office (ICO) if unresolved.
